New order notifications are sent to payments@heartofthedesertclassic.org. It will forward to addresses selected; notify the web admin of any desired changes.
Example of order:
When received, mark the reservation as paid and send the confirmation email. Go to Committee Files, and then to the appropriate page. In this case it is Indoor Grooming
Click on Edit Entry in the line that matches the order and it will open in a new screen.
Leave the top part of the form alone, and click on Office Use Only at the bottom.
Additional fields will appear for you to fill in:
Fill in the Order number and Amount paid from the order received. Click on the box to send a confirmation email (exception – not for a voided order!) and fill in name or initials just for tracking purposes.
If you are sending the confirmation, button changes from “Submit Changes” to “Send email and Submit Changes”.
You will be directed back to the original page, where you will see the order number and Amount paid columns filled in. When you print an excel list, the amount paid column can be used to balance to your PayPal receipts.
I recommend that after an order number and amount are entered, that you mark the order as “complete” in the file.

To mark an order complete, click on the eyeball between the name and the date (time).
Click on Completed at the bottom left. You can also complete several at once by selecting them with the box on the left, and selecting Change Status to Completed under Bulk Actions at the top left.
To find a specific order, enter any details known (first name, last name, email, order #, even the type of reservation) in the search box at the top right and then click Search Order. It will bring up all matches.
To mark an order to delete, type delete (or Delete) in the order column, and you can type 0 in the amount received.
To actually delete it from the file, click on the button that says Delete/Modify Submissions on the main Committee Files Page:
Delete/Modify SubmissionsSelect the desired form. Note that I have forms marked “copy” that are just for backup purposes.
You can modify or delete (trash) a single line by hovering and then picking the desired step. Be very careful, as there is no coming back from a mistaken deletion!
I recommend that you use the search box at the top right to bring up all forms (of that type) with the word “delete” somewhere inside.
Insert the term, then click on Filter submissions and all matches will be listed.
You can then select all and pick Move to Trash under Bulk Actions.
Close the tab when done.
